NAINA MUSIC Ltd – TERMS & CONDITIONS
- Booking Confirmation
A booking is confirmed only once:
- The booking form has been completed, and
- The non-refundable admin fee deposit of £101 has been received.
Until both have been received, the date remains open for other enquiries and is not guaranteed.
- Payment Terms
- Payment terms may be agreed depending on the family’s preference and prior arrangement with Naina Music.
- The remaining balance is normally payable either:
• By bank transfer no later than 30 days before the wedding date, or
• In cash on the wedding day before the ceremony begins. - Any alternative payment arrangements must be agreed in writing before the event.
- Any additional costs, extended timings, extra equipment, travel changes, amended requirements, or additional services requested after confirmation may result in additional charges, which will be discussed with the client beforehand where reasonably possible.
- Late payments may affect the ability of Naina Music to provide services as agreed.
- What the Fee Includes
The quotation provided by Naina Music includes not only the wedding day performance, but also extensive preparation and coordination carried out prior to the event, including:
- Travel and transport costs,
- Administrative and preparation time,
- Phone calls and consultations,
- Teams meetings and planning discussions,
- Music preparation and editing,
- Supplier and venue coordination,
- Referral and marketing costs,
- Equipment preparation and sound testing,
- Setup and pack down time,
- Tax and business operating expenses.
Clients acknowledge that a substantial amount of work takes place before the wedding day itself and that the quoted fee reflects both preparation and performance services.
- Cancellation & Refund Policy
- The £101 deposit is strictly non-refundable.
- If the booking is cancelled within 60 days of the event date, 50% of the remaining balance may still be payable due to loss of business and preparation already carried out.
- If cancellation takes place within 14 days of the event, the full remaining balance may be payable.
In the event of cancellation, complaint resolution, partial refund, or goodwill gesture, Naina Music reserves the right to deduct reasonable costs already incurred for:
- Planning and consultations,
- Meetings and communication time,
- Music preparation and editing,
- Travel arrangements,
- Administrative work,
- Supplier and venue coordination,
- Time already committed to the booking.
Any refund offered shall remain at the sole discretion of Naina Music and may be limited depending on the stage of planning and services already provided prior to the event.
- Client Responsibilities
The client agrees to:
- Provide accurate ceremony timings and venue details,
- Inform Naina Music of all event requirements before confirmation,
- Ensure suitable power supply and access for equipment setup,
- Inform Naina Music of any venue restrictions, sound limitations, or supplier rules in advance,
- Ensure adequate shelter and protection for outdoor events in case of rain, wind, or extreme weather.
- Additional Requirements & Undisclosed Services
All event requirements must be clearly communicated before confirmation of the booking. This includes, but is not limited to:
- Civil ceremony requirements,
- Additional microphones,
- Separate sound systems,
- Additional halls or rooms,
- Outdoor setup requirements,
- Extra speeches or performances,
- Extended timings,
- AV or technical requirements,
- Additional supplier coordination.
Certain services, including civil ceremony audio support, additional wireless microphones, extra speakers, or separate sound setups, may involve additional charges depending on staffing, equipment, and setup requirements.
If important event details or technical requirements are disclosed late or on the wedding day itself, Naina Music reserves the right to:
- Apply additional charges,
- Adjust setup where possible,
- Decline services that cannot reasonably be accommodated safely or professionally at short notice.
Clients are responsible for ensuring all ceremony and venue requirements are communicated in advance to avoid delays or technical limitations on the day.
- Music Selections
- Clients are responsible for submitting their music selections within a reasonable time before the wedding.
- If selections are not received, Naina Music will use suitable traditional Hindu, Gujarati, Punjabi, South Indian, Bollywood instrumental, devotional, and cultural background music appropriate for the ceremony and event atmosphere.
- Additional filler or transition music may be played during guest seating, priest speaking sections, ceremonial pauses, and transitions where appropriate.
- Religious & Venue Restrictions
- Certain temples and venues may permit only instrumental or devotional music.
- Naina Music reserves the right to adjust music selections accordingly in order to comply with venue management, temple regulations, or priest requirements.
- Delays & Schedule Changes
- Hindu weddings can occasionally run behind schedule and reasonable delays are accommodated where possible.
- Significant schedule extensions, additional waiting periods, venue changes, or additional hours may result in extra charges.
- Equipment & Technical Issues
- Naina Music uses professional sound equipment and backup systems wherever reasonably possible.
- In the unlikely event of technical or equipment failure, every reasonable effort will be made to resolve the issue promptly.
- Liability shall be limited to the total amount paid for the affected service only.
- Limitation of Liability
Naina Music shall not be held responsible for:
- Venue power failures,
- Restrictions imposed by the venue or priest,
- Weather conditions,
- Delays caused by third parties,
- Guest interruptions or requests,
- Supplier-related issues outside our control,
- Circumstances affecting the smooth running of the event beyond reasonable control.
- Behaviour & Respect
Abusive, threatening, disrespectful, or inappropriate behaviour towards Naina Music staff will not be tolerated. Naina Music reserves the right to stop services immediately if staff safety or wellbeing is affected.
- Photography & Social Media
Naina Music may use photographs or short video clips from events for promotional purposes on:
- Instagram,
- Facebook,
- X (formerly Twitter),
- Website or marketing materials.
If the client prefers no media usage, this must be communicated in writing before the wedding date.
- Force Majeure
Naina Music shall not be liable for failure to perform due to circumstances beyond reasonable control including:
- Severe weather,
- Accidents,
- Illness,
- Government restrictions,
- Road closures,
- Natural disasters,
- Venue closure,
- Equipment damage caused by third parties.
In such situations, every reasonable effort will be made to provide an alternative solution where possible.

Payment of the deposit confirms acceptance of these Terms & Conditions
